Established in 2005, Fairtrade Africa is the umbrella organization representing Fairtrade certified producers in Africa and is a member of Fairtrade International (FI). FTA aims to effectively represent producers within the International Fairtrade system and to contribute to the livelihood improvement of African and Middle Eastern producers by increasing access to markets. Established in 2005, FTA directs policy and strategic development of the organization, including its Secretariat in Nairobi and the four (4) regional offices. FTA works within the Fairtrade system to support over 1,055,000 farmers and workers in over 520 producer organizations spread over 33 countries to access better prices, decent working conditions, and fairer terms of trade

Fairtrade Africa is owned by its members, who are African producer organizations certified against international Fairtrade Standards producing traditional export commodities such as coffee, cocoa, tea, cut flowers, cane sugar, wine, cotton, bananas, mango, pineapples and non-traditional commodities including shea butter, rooibos tea, vegetables and fresh and dry fruits. Fairtrade Africa is made up of both Small Producer Organizations (SPOs) and Hired Labour Organizations (HLO). In HLOs, the focus is on supporting companies that employ hired labour to supply better working conditions for their workers while in SPOs the focus is on members who are smallholders who run their farms mainly using their own and their family labour.

Job Description

TERMS OF REFERENCE - PROVISION OF HR TEAM BUILDING FACILITATION FOR FAIRTRADE AFRICA STAFF


FTA is seeking a qualified consultant to facilitate a three day team building exercise and to compile a report outlining the workshop's proceedings, including practical recommendations and operational tools which can be used by the team in the future. The West African Network has a total of 23 staff. 13 staff are based in Accra, Ghana, 9 in Abidjan Côte d'Ivoire, and 1 in Senegal.

SCOPE OF SERVICES
To facilitate and moderate a team building retreat team building process that will improve staff motivation and communication, and enhance knowledge sharing and

Expected outputs

  1. Preparation/planning of the team building retreat workshop: 
    • A customized training and team building plan clearly articulating the objectives of the team building exercise; 
    • Interactive and flexible facilitation tools and material aids for brainstorming prepared prior to the workshop. 
  2. Facilitation of the team building retreat workshop: 
    • Interdepartmental interactions - knowledge sharing session between the programmes activities underway within the different projects; 
    • Brain storming sessions aimed at identifying the mandates and harmonization of the project activities; 
    • Brain storming sessions resulting in a suggested operational structure and communication skills/strategy within/by the organization; 
    • A team building component to enhance team work; 
  3. The output of the retreat workshop should be a brief report outlining: 
    • The retreat workshop proceedings and key outcomes; 
    • Strategic recommendations on corporate deliveries for the programme; 
    • Strategic recommendations on the institutional design/operational design 

The team building exercise should be creatively organized to include strategic brainstorming sessions aimed at helping the staff to develop and articulate corporate and individual work plans to ensure optimal delivery of the programme outputs. More time shall be given to outdoor /interactive / participatory activities

The consultant is expected to design this process and to assign time frames to it.

Expected outcomes:

  1. Ensuring that the personnel develop clear working arrangements for the effective delivery of the work plans and or duties and responsibilities outlined in their job descriptions/terms of references;
  2. Initiating the discussion on the most suitable institutional operational structure and sharing the best communication practices; 
  3. Supporting the team in clarifying their respective goals and objectives with respect to the ideology of the organization; 
  4. Facilitating sessions that would help identify those issues which have the potential to inhibit the team from reaching its goals;
  5. Addressing those issues, removing the inhibitors and enabling the goals of peace building and conflict transformation interventions to be achieved; 
  6. Improving the communication between line managers and their direct reports;
  7. Identifying strengths and capacity needs of members and providing appropriate recommendations;
  8. Satisfying the expectations of all staff for the team building exercise.

Required Skills or Experience

The consultant should possess the following knowledge and skills:

  1. Masters in Social Sciences, Human Resources Management, Programmes Management, or a closely related field. 
  2. 10-15 years of relevant professional experience; 
  3. Proven track record of facilitating team building and knowledge sharing workshops and consultancy experience. 
  4. Demonstrated knowledge of NGO programmes Management; 
  5. Excellent analytical writing and communication skills; 
  6. Full computer literacy and fluency in English – both written and spoken – are essential. 
  7. Prior experience with donor supported agencies is an advantage, as is knowledge of donor policies and procedures
